How do I connect QuickBooks Online to Fluz?

Connect QuickBooks, set up QuickBooks Online, QBO setup, start date, account names, add integration

Written by Rachael Crews

Connecting takes about two minutes. You approve Fluz in a QuickBooks window, pick a start date, confirm how your accounts are named, and click Finish setup.

Before you start

  • An enrolled Fluz account. The integration is available on Fluz accounts enrolled in it.

  • The Fluz website. You connect QuickBooks on the Fluz website. Connecting isn't available in the mobile app.

  • QuickBooks Online. The integration works with QuickBooks Online only.

  • Owner or Admin role in Fluz. Only account Owners and Admins can connect QuickBooks.

  • One-to-one link. One Fluz account connects to one QuickBooks company, and that company can't be connected to a second Fluz account.

  • Pop-ups allowed. The QuickBooks sign-in opens in a small pop-up window. If your browser blocks pop-ups, allow them for Fluz first.

Connect QuickBooks

  1. Open the account menu and choose Apps and integrations, then the Browse apps tab.

  2. On the QuickBooks Online tile, click Add integration.

  3. In the Connect QuickBooks Online window, click Connect.

  4. A QuickBooks window opens. Sign in, choose your company, and approve Fluz. Fluz shows Connecting QuickBooks Online while it pulls in your chart of accounts, vendors and customers. This can take a minute.

  5. The setup panel opens. Under Start syncing transaction from, choose how far back to send transactions. See "Choosing a start date" below.

  6. Under How your Fluz accounts are named in QuickBooks?, review the suggested account names. Keep them, rename them, or pick an existing QuickBooks account. See "Naming your accounts in QuickBooks" below.

  7. Click Finish setup. A QuickBooks connected message confirms you're ready to sync.

Connecting doesn't send anything to QuickBooks yet. Transactions go over only when you sync them. Once you're connected, you can sync on the Fluz website or in the mobile app.

Choosing a start date

Option

What gets sent to QuickBooks

All transactions

Everything since your Fluz account was opened

All future transactions only

Only transactions from today onward

Last 7, 30 or 90 days

Transactions from that many days ago (30 days is the default)

Beginning of current month or year

Transactions from the 1st of this month, or from January 1

Custom

Transactions from a date you pick

With any option except All transactions, Fluz records the starting balance of each Fluz balance as of that date, once, on your first sync. That way your QuickBooks balances match Fluz from day one.

Choose carefully. The start date can't be changed after your first transaction syncs. To change it after that, you'd need to disconnect and connect again.

Naming your accounts in QuickBooks

Fluz needs a QuickBooks account for each place your money sits or moves through in Fluz. It suggests names and creates any accounts that don't exist yet.

In Fluz

Suggested name in QuickBooks

What it's for

Fluz prepayment balance

Fluz — Prepayment Balance

Gift card prepayment money held in Fluz

Reward balance

Fluz — Reward Balance

Cashback and rewards earned in Fluz

Reserve balance

Fluz — Reserve Balance

Reserve money held in Fluz

Fee account

Fluz — Fees

Expense account for fees, such as instant-settlement or deposit fees

Cashback category (optional)

Fluz — Cashback

Income account where cashback is recorded

Each spend account

Fluz — (spend account nickname)

That spend account's balance

Each linked bank account or card

Clearing account – (bank or card name)

A holding account for money moving between that bank or card and Fluz

For example, if you have a spend account called "Marketing" and a linked card ending in 1234, you'd see "Fluz — Marketing" and "Clearing account – (card name) ••1234". Fluz also creates a "Fluz – Transfer Clearing" account to track money you move between your own Fluz balances.

  • To use an existing QuickBooks account, search for it in the picker under Existing QuickBooks accounts.

  • To create a new one, type a name and choose Create "…" account.

  • Bank and card clearing accounts are always new accounts created by Fluz.

If you point a Fluz balance at an existing QuickBooks account, Fluz doesn't record a starting balance for it. Setting that account's starting balance in QuickBooks is up to you.

You can change these accounts later from the Manage panel on the Fluz website. See How do I manage, reconnect or disconnect QuickBooks?

If connecting doesn't work

  • The QuickBooks window never appears. Your browser blocked the pop-up. Allow pop-ups for Fluz and try again.

  • "Your connection session expired." The QuickBooks sign-in took more than 10 minutes, or the sign-in link was already used. Start again from Connect.

  • "QuickBooks denied the connection." Access wasn't approved in the QuickBooks window. Try again and approve access.

  • "This QuickBooks company is already connected to another Fluz account." Disconnect it from the other Fluz account first.
