You manage your QuickBooks connection from one place, the Manage panel on the Fluz website. From there you can refresh your QuickBooks lists, change the accounts Fluz uses, fix anything that needs attention, reconnect, or disconnect.
Only account Owners and Admins can make changes. Settings, account names, reconnecting and disconnecting aren't available in the mobile app.
Open the Manage panel
On the Fluz website, go to Apps and integrations, then the Overview tab.
Click the QuickBooks Online row. You can also click Manage App on the QuickBooks Online tile in Browse apps.
What you can change
Setting | What you can do |
Refresh data | Pull your latest accounts, vendors and customers from QuickBooks right away, instead of waiting for the automatic update. The panel shows when it last refreshed. |
Start syncing transaction from | Change your start date. This is only possible until your first transaction syncs. After that, the setting is hidden. |
Fluz balances | Rename or re-point the accounts for your prepayment, reward and reserve balances, your fee account and your cashback category. |
Spend accounts | Rename or re-point the QuickBooks account for each spend account, including closed spend accounts that still have transactions to sync. |
Funding sources | Choose the clearing account for each linked bank account or card. Entering a new name creates a new clearing account; it doesn't rename the existing one. |
Click Update to save. You'll see "QuickBooks updated".
If you see "Action required"
The QuickBooks row on the Overview tab shows a yellow Action required label when something needs fixing. Open it to see only the items that need attention:
"One or more accounts lost their QuickBooks connection." An account Fluz was using was deleted or made inactive in QuickBooks. Choose another account or create a new one, then click Update.
"Map your inactive spend accounts." A closed spend account still has transactions to sync. Map it to a QuickBooks account so those transactions can go through.
Reconnect QuickBooks
The link to QuickBooks can stop working if someone disconnects Fluz from inside QuickBooks, or if QuickBooks access expires after a long time without use. Your settings and synced transactions are safe when this happens.
You'll know because:
Owners and Admins see a Let's reconnect QuickBooks card on the home page.
Syncing and editing QuickBooks details are paused. Trying to sync shows "Reconnect QuickBooks".
To reconnect on the Fluz website:
Click Reconnect on the home page card, or click the QuickBooks row in Apps and integrations.
In the Connect QuickBooks Online window, sign in to QuickBooks and approve Fluz.
All your settings and account names are kept, and syncing picks up where it left off. Brief QuickBooks outages don't break the link. Fluz tries again later on its own.
Disconnect QuickBooks
Open the Manage panel and click Disconnect.
Confirm in the Disconnect QuickBooks Online window.
You'll see "QuickBooks disconnected".
After you disconnect:
Nothing is deleted in QuickBooks. Synced entries, attached receipts, and the accounts and vendors Fluz created all stay.
Nothing is lost in Fluz. Categories and memos stay on your transactions.
Unsynced transactions stay in Fluz and aren't sent to QuickBooks.
QuickBooks no longer appears on the Overview tab. To connect again, click Add integration on the QuickBooks Online tile in Browse apps.
If you connect the same QuickBooks company again, Fluz restores your previous account names for accounts that are still active in QuickBooks. You'll need to choose your fee account and cashback category again.

Why can't I see the Manage panel or change settings?
The Manage panel is on the Fluz website, not the mobile app, and only account Owners and Admins can use it. If you're not an Owner or Admin, ask one on your account.
