How access levels work
When you share a Spend Account, Virtual Card, or gift card on Fluz, you assign the recipient an access level that controls what they can do. Access levels are consistent across all shared resource types, so the same terms apply everywhere.
The four access levels
Can view: View activity, balances, and statements. Cannot make purchases or changes.
Can spend: Everything in "Can view," plus: make purchases, create Virtual Cards (on Spend Accounts), view full card numbers, and submit edit requests.
Can supervise: Everything in "Can spend," plus: edit settings and approve requests. Available to account members only (not guests).
Admin: Full control, including managing who has access and at what level. Available to account members only.
Where access levels are set
Access is set in two places:
1. Account role: Assigned when a member is added to the account. This is the baseline: a member's access to any specific resource can never be lower than their account role.
2. Resource-level access: Assigned when sharing a specific Spend Account, Virtual Card, or gift card. This can be set equal to or higher than the member's account role.
For example, a member with a "Can view" account role can be given "Can spend" access on a specific card. But an account Admin will always have Admin access on every resource.
How access cascades from Spend Accounts to cards
When a Virtual Card is funded by a shared Spend Account, everyone with access to that Spend Account automatically gets access to the card. Their access level on the card matches their Spend Account access level (unless overridden higher at the card level).
This means you can manage team access at the Spend Account level — when you add someone to a Spend Account, they can see all cards funded by it without needing to be added to each card individually.
Guest access
Guests are people outside your account who receive access to a specific Virtual Card or gift card. Guests can only be assigned "Can view" or "Can spend" access. They cannot be given supervisory or admin permissions, and they do not have access to Spend Accounts.
Frequently asked questions
Can I give someone different access levels on different cards?
Yes. Resource-level access can be set independently for each Spend Account, Virtual Card, or gift card — as long as it's not below the person's account role.
What happens if I lower someone's account role?
Their baseline drops, but any resource-level permissions that were set higher than the new role remain until you change them individually.
Can a guest become a member?
Yes. If you invite a guest to join your account, they become an authorized user and their access is controlled by their new account role going forward.
